Definitions
The World Association of Veterinary Laboratory Diagnosticians (WAVLD) is the official host of the Symposium and hereafter referred to as ‘Organizer’.
Venue West Conference Services has been contracted by the Organizer to provide conference management services for the Symposium and is hereafter referred to as ‘Secretariat.’
The General Terms and Conditions are valid for every attendee registered for the International Symposium of the World Association of Veterinary Laboratory Diagnosticians 2025 (ISWAVLD 2025) taking place June 12-24, 2025, in Calgary, Alberta (hereafter referred to as ‘Symposium’). Any person registered for the Symposium is considered a ‘delegate’.
Symposium Registration
Early Bird registration ends at 23:59 Mountain Time on Tuesday, April 15, 2025.
Regular registration follows at 12:00 Mountain Time on Wednesday, April 16, 2025.
Regular registration ends at 11:59 on Thursday, June 12, 2025.
Registration fees are in CAD and a 5% Goods and Services (GST) tax applies.
Registration for the Full Symposium includes access to the plenary and parallel sessions, poster sessions, exhibition area, coffee breaks, buffet lunches, official Welcome Reception, online access to the conference program book and the book of abstracts (PDF files), and a certificate of attendance. Registration for Single-Day includes access to the plenary and parallel sessions, poster sessions, exhibition area, official Welcome Reception, and a certificate of attendance. Additional social event tickets can be purchased during registration.
Only fully completed registration forms will be accepted. The registration fee is based on the date of the receipt of the completed online registration as well as full payment in accordance with the deadlines mentioned above. The online registration can be completed by clicking the button “Submit” at the end of the form. Should a deadline be missed, the next applicable fee will be charged automatically. Registrations are not confirmed until payment is received in full.
If the maximum attendee capacity is reached, the Organizer reserves the right to refuse any registration or close the registration site early.
To be eligible to register for the Symposium, attendees must be at least 18 years old.
The official Conference language is English.
Registrations are confirmed by email when payment is received in full.
Delegates wishing to transfer their registration to another person must submit their registration ID along with the name and contact details of their replacement via email ([email protected]) to the Secretariat no later than 23:59 Mountain Time on Monday, May 26, 2025. (This policy does not apply to complimentary registrations).
Photography and Image Capture. Please be advised that photographs or recorded video will be taken at the symposium for use on the Symposium website, and in the media, as well as future Symposium marketing materials and other publications. By attending the Symposium, delegates acknowledge that your photo may be taken and used by symposium officials.
Name badges are required to always be worn for access to sessions and functions. If a name badge is lost, a CAD $40 plus 5% GST administrative fee will apply to a badge reprint.
Registration fees can be paid by credit card (American Express, Diners Club, Discovery, JCB, Mastercard, UnionPay and Visa), bank transfer, e-transfer (Canadian bank accounts only), or cheque. Currency exchange charges, bank collection fees, and credit card chargebacks are the responsibility of the delegate.
Credit card is the preferred payment method and results in an instant confirmation of attendance. All transactions will appear on the credit card statement as a payment to Venue West Conference Services. Attendees who wish to pay by bank or e-transfer will receive an invoice by email. Invoices are payable within 21 days after receipt, or before the first day of the conference if the registration date is less than 21 days prior to the start of the conference.
Accommodations
Room type booked during the registration process is not guaranteed. Any changes to your booking need to be emailed to iswavld2025-registration[at]venuewest.com. A hotel booking confirmation email will be sent closer to the conference date with hotel details and confirmation number. If you didn’t book accommodations, you can log back in and book accommodations up to Monday, May 12, 2025.
Cancellation Policy
Cancellations are permitted until 23:59 Mountain Time on Wednesday, April 30, 2025. Delegates will receive a full refund less a CAD $50 administrative fee for full Symposium cancellations.
Cancellations must be submitted via email to the Secretariat no later than the above date by emailing iswavld2025-registration[at]venuewest.com. If payment was made by bank transfer, e-Transfer or cheque, the email must include all the information and instructions required for the refund to be remitted. Delegates who cancel after the cancellation deadline are ineligible for a refund, however, transfer of registration is permitted until 23:59 Mountain Time on Monday, May 26, 2025. (This policy does not apply to complimentary registrations).
If the Conference cannot be held or is postponed due to events beyond the control of the Organizer (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the Organizer, the Conference Organizer cannot be held liable by registrants for any costs or losses incurred. Under these circumstances, the Organizer reserves the right to either retain the entire registration fee and to use it for a future Conference, or to reimburse the attendee after deducting costs already incurred for the organization of the Conference and which could not be recovered from third parties.
The online registration form asks delegates for data such as contact details, dietary restrictions, and accessibility requirements to facilitate registration for the Symposium. The Organizer and Secretariat are committed to protecting the privacy of all personal data submitted. The Symposium privacy policy is provided to delegates on the registration form, and they are asked for consent of their data to be processed. The Secretariat will retain your Personal Data for no longer than reasonably necessary to fulfill the purposes of which it was collected for or to comply with the law, to prevent fraud, to facilitate an investigation, to defend against legal claims, or to exercise our legal rights.
The Symposium is committed to providing a professional, friendly, safe, and welcoming environment for all participants of this meeting, regardless of gender, sexual orientation, disability, race, ethnicity, religion, national origin, or other protected class. We expect all delegates and speakers to help ensure a safe and positive experience for everyone. Unacceptable behaviour will not be tolerated during any part of a meeting or event.
Unacceptable behaviour includes but is not limited to:
- Intimidating, harassing, abusive, discriminatory, derogatory, or demeaning speech or actions.
- Harmful or prejudicial verbal or written comments related to gender, sexual orientation, race, religion, disability, or other personal characteristics, including those protected by law.
- Inappropriate disruption of sessions or functions.
- Taking screenshots, photography, video, or audio recording of oral presentations is prohibited.
Misconduct can be reported via email to the Secretariat (iswavld2025[at]venuewest.com).
Consequences of misconduct may include:
- Immediate removal from event without warning.
- Restrictions from future events.
- Taking screenshots, photography, video or audio recording of oral presentations is prohibited.
